PrestaShop back-office access hours, per profile and per employee

Access Hours is Flag Agency’s PrestaShop 9 module that decides when your employees can get into the back office: time slots per profile or per person, exceptions for public holidays and temporary overrides. Outside their hours, login is refused and the session closes, with a warning a few minutes before. The online shop doesn’t change. It costs €29 + VAT.

the problem

Why limit back-office access hours?

Because the back office holds orders, customers and prices, and people who work shifts or remotely shouldn’t be able to get in at any hour. PrestaShop decides who can do what with profiles, but not when. Access Hours adds exactly that: “the warehouse team gets in Monday to Friday 8–18”, “Caio can work until 20:00”.

how it works

How does Access Hours work?

  • Hours per profile, such as Logistics or Translator, valid for every employee in the profile, and personal hours that take priority over the profile’s.
  • Slots day by day, even more than one (for the lunch break) and past midnight, for night shifts. A day with no slots is closed.
  • Date exceptions: closed all day for public holidays, or different slots from usual, such as Christmas Eve 9–13 or stocktaking 7–22.
  • Temporary overrides: “today only until 22:00”, for up to 31 days, which you can revoke early.
  • Live status: for each employee you see whether they can get in now and until when.
  • Log of refused logins and forced logouts, with filters and CSV export, plus an optional email for out-of-hours attempts.
  • Time zone and daylight saving time of the shop handled automatically.

for the employee

What does the employee see outside their hours?

When they log in outside their hours, access is refused with a clear message: today they can get in from 08:00 to 18:00, and the next access is tomorrow at 08:00. While they work, in the last few minutes (10 by default) they see the warning “Your hours end at 18:00: save your work”; at the first action after the end they’re logged out.

With a wrong password the message about hours doesn’t appear: anyone trying to get in without credentials learns nothing about your shop’s hours.

security

What if someone gets locked out by mistake?

It can’t happen to whoever runs the shop: main administrators (SuperAdmin) are never limited. If a change would lock you out at that moment, the module tells you and asks for explicit confirmation.

  • An emergency command on the server switches the check off without losing the rules, and then switches it back on.
  • Only people with edit permission on the Access hours item can change the hours: give it only to whoever manages staff.
  • The module can always be uninstalled.

faq

Frequently asked questions about access hours in PrestaShop

Does it work if I don’t use Flag Theme?

Yes, on PrestaShop 9 it works with any theme, because it works only in the back office. Without Flag Theme the Access hours item appears under Advanced Parameters › Team, next to employees and profiles; with Flag Theme it sits in the theme’s menu, together with Flag’s other modules.

Can I get locked out of my own shop?

No: main administrators (SuperAdmin) are never limited and can’t be configured, so there’s always someone who can get in. If a change would lock you out at that moment, the module asks for explicit confirmation. In an emergency, a command on the server switches the check off without deleting the rules.

Does the online shop change for customers?

No: the hours apply only to the back office. The pages your customers see and the shop’s API are not affected, and the module adds nothing to the online shop.

Is the access log compliant with privacy rules?

The log of out-of-hours attempts is a form of employee monitoring: you must tell your employees, through your privacy notice and, in Italy, where required, under article 4 of the Workers’ Statute. By default the module stores IP addresses in anonymised form and deletes entries by itself after 90 days, a period you can change. The final check is up to your adviser.

Does it work with night shifts and daylight saving time?

Yes. A slot such as 22:00–02:00 continues into the next day and belongs to the day it starts. Hours follow the shop’s time zone and the switch to daylight saving time, and from the server you can simulate another moment, such as Christmas Eve, to check the rules in advance.

What happens to unsaved work at the end of the slot?

In the last few minutes (10 by default, you choose) the employee sees a warning to save. At the first action after the end they’re logged out: a form submitted after hours isn’t saved. To finish an urgent job, a temporary override is enough, for example “today only until 22:00”.
